Academic Coordinator (Advanced Oral Sciences and Therapeutics) - (200000RK)
The University of Maryland, Baltimore (UMB) School of Dentistry, Department of Advanced Oral Sciences and Therapeutics (AOST) is seeking an Academic Coordinator. The AOST department is comprised of five divisions to include Dental Hygiene, Endodontics, Periodontics, Prosthodontics and Biomaterials and Tissue Engineering. Working under limited supervision, this position will provide general support to the Senior Program Specialist and the department Chair, specific academic support to the AOST faculty, and in addition supporting a variety of day-to-day departmental operations.

Coordinates administrative activities of the predoctoral and postdoctoral academic programs, across the divisions with interrelated activities and programs of other departments or staff to ensure optimum efficiency and compliance with appropriate policies and procedures. Receive, screen, and respond to inquiries by providing general information about the program. Refer issues to appropriate department or school staff when unable to respond.
Provides administrative support to the department programs and faculty with recruitment, selection, admission, registration, orientation, and graduation as needed.
Supports the academic, scholarly, and administrative work of the course directors and program directors including communication of essential information to students and faculty, compiling responses to queries, preparing reports, and citation assistance for journal publications.
Prepares, organizes, and disseminates academic schedules, course descriptions, outlines, syllabus, and other similar materials through close coordination with faculty. Maintain timelines, assuring accurate documentation and appropriate and timely communication among all stakeholders.
Collects, enters, and analyzes data on student progression, program evaluation, and compliance developing survey, tracking and reporting methods when necessary to monitor student and academic program activities.
Compiles and edits content for periodic reports, grant/program proposals, promotional materials, journal articles, financial statements and records on academic program activities, progress, status or other special reports for management or outside agencies. This may include supporting research administrative needs of the department chair.
Provides technical advice, problem-solving assistance, answers to inquiries, and policy interpretation to students, faculty, and others. Improves, supports, and communicates essential information about academic programs such as admission requirements, academic policies, and general program content.
Serves as a liaison between students, residents, or faculty and department staff regarding Federal Work Study, reimbursements, and other administrative matters. Assists with travel, housing, and visa requirements.
Develops, compiles, and writes program coursework communications and promotional literature for distribution, such as newsletters, brochures or flyers, and maintaining the department website.
Perform other related duties as assigned.
Education: Bachelor's degree in Business Management or other discipline appropriate to position.
Experience: Two (2) years of related administrative experience in which program coordination is primary responsibility preferably in higher education. Research administrative experience is also valuable.
Consideration may be given for a unique combination of education and experience.
Knowledge, Skills, and Abilities :
Must be detail-oriented, demonstrate advanced level of technical skills necessary to collect and manipulate data, create forms, etc. using programs such as Excel, Adobe, Survey Monkey, and Qualtrics.
Excellent customer service and interpersonal skills are required to interact with various on-campus and off campus populations (student, faculty, administrators), dedicated to providing consistent, high-quality service to meet operational needs.
Ability to effectively communicate both verbal (in-person and telephone) and written thoughts, ideas, and facts. Writes and presents information in clear and concise way. Interprets and understands written information and able to listen attentively to verbal and non-verbal cues that lead to a deeper understanding.
Assumes personal responsibility for all outcomes; makes effective and timely decisions; and utilizes technology to complete assignments and reports. Maintains productivity and uses knowledge strategies to increase knowledge base.
Ability to work cooperatively with others and always demonstrate professional, ethical, respectful, and courteous behavior. Capable of interacting pleasantly and positively with co-workers to meet customer (student and faculty) expectations.
A high degree of self-motivation and ability to manage multiple activities, deadlines, and maintain optimum productivity coupled with the ability to analyze programs and services to develop recommendations for improvements or enhancements at the micro and macro level.
Demonstrated sensitivity and discretion in handling matters affecting students, faculty, advisors, administrators, and community members. Ability to maintain confidentiality of subjects and information obtained, be able to perform duties of the position in compliance with all requirements, regulations and laws, especially the Family Educational Rights and Privacy Act (FERPA).
Hiring Range: Salary starts at $45,000 and is commensurate with education and experience.
